The Operations Associate will be key in the building, reforming, and implementation of Darkroom’s core processes. This will include cross-departmental collaboration, steadfast innovation, and the ability to problem solve at both micro- and macro-levels.

This role supports teams working in US Eastern Standard/Daylight Time and should be flexible to support and work in these times.

What you’ll do:

1. Client Onboarding. As part of this role, you will be expected to own the client onboarding process, which involves both internal and external (client-facing) operations. Once a client signs, this triggers a set of processes you will be asked to oversee. Onboarding is a period of three weeks.

Setting up client backends within the Darkroom infrastructure. This includes the setting up of client-specific Notion dashboards, Slack channels, Google Drive files, and Figma spaces.

Attaining all relevant information from the client, i.e. guidelines, client briefs, creative assets.

Requesting and ensuring all credential access is granted by the client at the correct levels. This includes access on platforms such as Google Analytics, Google Ads, Meta, Shopify, Klaviyo, and more.

Handle all client communications during the onboarding period with diligence and speed.

Manage and oversee all meetings scheduled within this period in time, including external calls and internal briefs. This requires a high-level of organization, and the ability to coordinate effectively.

Use existing templates to prepare onboarding decks in Figma. As part of this process, you will be asked to review sales notes and recordings.

General Operations

Assist managers in the building and implementation of core processes and infrastructures.

Assist in the maintenance of current infrastructures, such as Notion, Drive, Slack, etc.

Assist in the execution of company-wide initiatives and operational projects.

Assist in the building of trainings, operating procedures, and other operations-related collateral.

Continual assistance with client operations, when necessary.

Assist in scheduling and reporting (outside onboarding), when necessary.

You should apply if this sounds like you:

Ability to quickly adapt to new technology and/or software

Comfortability managing multiple tasks at once;, e.g. meetings, delivery of assets, team assignments, etc.

You have experience with data processing & tracking

Experience with project management methodology, and task prioritization

Experience managing multiple calendars

Plus: Experience with any of the aforementioned platforms/softwares
